People & Workplace Operations Specialist (Maternity Leave Cover)

We're looking for a friendly, organized, and proactive People & Workplace Operations Specialist to join our People Success Team in Skopje and help us keep that spirit alive every single day.

In this role, you'll be the person who makes things run smoothly and feel special. From keeping the office stocked and the vendors happy, planning the events people actually look forward to and making sure every birthday and work anniversary gets the recognition it deserves to providing recruitment support using AI tools to improve efficiency and scalability. You'll collaborate closely with Finance, Marketing, and our leadership team, bringing your own ideas and energy to everything you touch.

Key responsibilities

I. Operations

Office & Vendor Management

Run day-to-day office operations across two Skopje hubs — supplies, maintenance, organization, and workplace improvements.

Manage vendor relationships (parking, building management, catering, supplies) with clear KPIs and regular performance reviews.

Use AI and automation tools to optimize administrative workflows, reporting, and internal communication.

Travel (in cooperation with Finance)

Own end-to-end business travel: bookings, expense tracking in Payhawk, loyalty accounts, and policy enforcement.

Negotiate provider discounts and proactively identify cost-saving opportunities.

Budgets & Processes

Manage HR/operations budgets with transparent approval workflows and regular spend reviews.

Build and document standardized processes for events, celebrations, swag, and compliance, including automated reminders for Moments that Matter.

Maintain Factorial HR Core, employee documentation, and the employee handbook in line with legal and company requirements.

II. Employee Engagement

Events & Recognition

Plan and execute onsite events (team building, celebrations, milestones) and offsite retreats handling all logistics, budgets, and post-event reviews.

Run recognition programs for birthdays and work anniversaries via JobPts, ensuring timely and personal acknowledgment.

Use digital and AI-supported tools to enhance event planning, communication, and employee engagement.

Swag & Gifts

Source, manage, and distribute company swag and employee gifts , balancing brand alignment, budget, sustainability, and employee impact.

Collaborate with Marketing & Design on new swag; gather feedback to continuously improve selections.

III. HR Support

Recruitment & Onboarding (in collaboration with People Success)

Support candidate screening and interview scheduling; maintain the Factorial ATS with accurate, up-to-date information.

Manage new employee onboarding — contracts, M2 documents, Agency of Employment registration, and onboarding checklists.

Coordinate onboarding sessions and cross-team readiness to ensure a smooth first-day experience.

Employee Relations & Culture

Proactively identify opportunities to strengthen engagement, morale, and a high-performance culture.

Support conflict resolution and employee relations in collaboration with the People Success team.

What We're Looking For

You're a natural organizer with a warm personality and a genuine passion for people. Here's what will set you up for success in this role:

  • 2+ years of experience in People Operations, Office Management, HR, or a similar role

  • Strong organizational and multitasking skills with the ability to prioritize effectively

  • Experience in managing office operations, vendors, and events

  • Exposure to recruitment processes and coordination is a plus

  • Comfortable working with HR systems (e.g., Factorial or similar) and digital tools

  • Experience or strong interest in using AI tools to automate workflows, improve efficiency, and enhance employee experience

  • Excellent communication and stakeholder management skills

  • High level of discretion and ability to handle confidential information

  • A proactive, ownership mindset: you spot what needs doing and you do it.
